Using your deed poll

How many copies of your deed poll do you need?

General UK name-change information, not individual legal advice. Requirements can vary by organisation and UK jurisdiction; where a decision matters, check the relevant official guidance.

A common question is how many copies of a deed poll to prepare. The answer depends on how many organisations you plan to notify at once, and whether any will want to retain a copy. A small number of originals plus a few certified copies covers most people.

Originals vs certified copies

Most organisations simply sight your original and return it, or keep a photocopy. A smaller number ask to retain a certified copy. Having a couple of originals means you can send one off without losing access to your document entirely.

A sensible number

  • 2–3 originals — one kept safe, one in use, one spare.
  • 3–5 certified copies — for organisations that retain a copy.
  • A scanned PDF backup in secure storage for reference.

If you only have one original

One original is still fine. Take certified copies from it and send those where an organisation needs to retain evidence, keeping the original at home unless an organisation specifically requires the original by post.

Frequently asked questions

How many originals of my deed poll should I order?▼

Two or three originals is a sensible number. One to keep safe, one to use day-to-day or send off, and a spare in case one is damaged or retained by an organisation.

Do organisations keep my deed poll?▼

Some do retain a copy for their records, often a certified copy rather than the original. If you only have one original, ask whether a certified copy is acceptable instead of sending it by post.

Can I show one original to many organisations?▼

Yes for most organisations — they will usually copy it or note it and hand it back. A small number retain a copy, which is where a second original or certified copies are useful.
